GENERAL ABSTRACT INFORMATION

Q.  Where and how do I submit an abstract?
A.  All abstracts must be submitted electronically via our abstract submission system.

Q.  Can I submit an abstract if I am not an IETS member?
A.  Yes! We encourage all embryo technology professionals to submit an abstract.

Q.  What is the deadline for general abstracts?
A. 11:59 p.m. central time on Thursday, July 23, 2026. Save the date to your calendar!

Q.  How do I edit the abstract after the submission deadline?
A.  Edits after the submission deadline must be approved by the program section editor.

Q.  When will I know if my abstract has been accepted?
A.  The abstract system will send an automatic email to the corresponding author when the section editor finalizes the decision on the abstract (check to make sure your email address is listed correctly and can be accessed for all future IETS 2027 Annual Conference communication). We will also update the conference website with the list of accepted abstracts.

Q.  When will I know the day and time of my presentation?
A.  As soon as the program is finalized, the program will be posted to our website and shared via email (sign up to receive annual conference emails!), social media (follow us on Facebook, Twitter/X, LinkedIn, and Bluesky!), and our newsletter (join or renew your IETS membership to gain access!).

Q.  How do I upload documents to the abstract submission system?
A.  

  1. Visit the IETS 2027 abstract submission portal.
  2. Log in using the credentials you used to submit your abstract.
  3. Select Add/Manage Documents and upload your document.

Reminder: Student competition applications should be uploaded in ONE PDF to the abstract portal.

ABSTRACT CONTENT

Q.  Can I submit my abstract in a language other than English?
A.  No, we only accept abstracts that are written in English.

Q.  What should I do if I have more than 15 authors for the abstract?
A.  The abstract submission system allows you to enter up to 15 authors. If you have more than 15, please email Olivia Christopher at iets@assochq.org.

Q.  What should I do if I have more than 15 institutions for the abstract?
A.  The abstract submission system allows you to enter up to 15 institutions. If you have more than 15, please email Olivia Christopher at iets@assochq.org.

Q.  How do I check for 3,300 keystrokes?
A.  Your word processor has a word count feature that provides the character and space count.

Q.  What is included in 3,300 keystrokes?
A.  The title, body, key words, acknowledgments, and table (if included) count toward the 3,300 keystrokes. Hard returns count as two keystrokes.

Q.  Is special coding included in the 3,300 keystrokes?
A.  No, special coding is not included in the keystroke count.

Q.  The guidelines state abstracts with more than 3,300 keystrokes (characters and spaces) will be rejected. Will my abstract be rejected if it’s over the 3,300 keystrokes?
A.  When you hit the submit button, you will receive a warning message stating that either you have missing information or your abstract exceeds the limit. You will have the option to adjust your keystrokes and add missing information at that time.

Q.  What is the abstract revision process?
A.  The corresponding author will be sent an automatic email when the section editor finalizes the decision on the abstract (check to make sure your email address is listed correctly and can be accessed for all future IETS 2027 Annual Conference communication).

IMPORTANT: Requested abstract revisions must be fulfilled within 48 hours to be considered.

LOGGING IN AFTER SUBMITTING AN ABSTRACT

Q.  How do I log back in to edit my abstract before the deadline?
A.  During abstract submission, the first thing you are asked to do is input your valid email address and a password. You will use these credentials to log in and edit your abstract before the July 23, 2026, deadline at 11:59 p.m. CT.

You will be given an abstract tracking number after submitting your abstract. Your tracking number is a unique identifier in our system and should be used in any communications with IETS about your abstract.

Q.  I forgot my password—how do I reset it?
A.  Select the “Forgot password?” link on the login page of the abstract submission portal.

POSTER CONTENT

Q.  What are the poster specifications?
A. 

  • Size: 120 centimeters tall × 80 centimeters wide, in portrait orientation.
  • Mounting: Use double-sided tape on a poster that fits within the specified dimensions.
  • Identification: Include your poster number in the top-left corner.

Q.  When is the deadline to submit a PDF of my poster?
A.  You must submit a PDF of your poster to the abstract submission system by December 4, 2026, at 11:59 p.m. CT. Save the date to your calendar.

Q.  How do I submit a PDF of my poster?
A. 

  1. Visit the IETS 2027 abstract submission portal.
  2. Log in using the credentials you used to submit your abstract.
  3. Select Add/Manage Documents and upload a PDF of your poster file.

Q.  How do I find my poster number?
A.  Posters are numbered according to their abstract number in the special issue of Reproduction, Fertility and Development. (You can find your poster number in your #IETS2027 abstract submitter account after acceptance.)

POSTER PRESENTATION

Q.  When are the poster presentations?
A.  Two sessions will be offered (date and time to be determined)

  • Odd-numbered abstracts (e.g., 7, 9, 11) and student competition finalists will present in one session
  • Even-numbered abstracts (e.g., 8, 10, 12) will be presented in another session

Q.  How do I submit a Zoom recording of my presentation?
A.  We allow presenters to share a short presentation of their poster on the conference website following the event. Please keep your presentation under 10 minutes.

Q.  Will poster printing services be available on-site or nearby?
A.  Presenters are responsible for printing their posters for IETS 2027.

Q.  Will my poster be displayed for the duration of the conference or only during designated sessions?
A.  Posters will be displayed for the duration of the conference.

Q.  What should I do with my poster at the end of the conference?
A.  Please remove your poster by the designated teardown time on January 19 at the end of the conference. Posters left after this time will be discarded. If you are unable to collect your poster yourself, please arrange for a colleague to do so on your behalf.

PRESENTATION ATTENDANCE POLICY

Q.  What is the attendance policy for presenting?
A.  If an abstract is accepted, the presenter must attend the meeting. Presenters who fail to attend and present their paper or poster may be ineligible to present at future IETS conferences.

Q.  When are the student competition deadlines?
A.  There are three important dates to keep in mind:

Q.  Can I compete again if I’ve won previous student competitions?
A.  No, previous winners of awards are not eligible to compete for the same award again.

While we encourage you to apply for all student competitions, finalists of the Undergraduate Student Competition or Foundation Graduate Student Research Competition will be removed from consideration for other student awards, as someone cannot receive multiple awards in the same year. If you were a previous finalist in the Undergraduate Student Competition or Foundation Graduate Student Research Competition, we encourage you to apply for the CANDES Trainee Travel Award, Palmer Prize in Equine Reproduction Award, or Peter W. Farin Trainee Award this year (or vice versa).

Q.  Do I need to attend the conference in person to compete?
A.  Yes, all student competitions require in-person participation at the IETS 2027 Annual Conference. If an abstract is accepted, the presenter must attend the meeting. Presenters who fail to attend and present their paper or poster may be ineligible to present at future IETS conferences.

Q.  Do I need to be an IETS trainee member to participate in the student competitions?
A.  No! We encourage all students to enter our competitions.
